Social Media Production Assistant • About the Role • We educate and connect real estate investors and publish social content across Instagram, LinkedIn, X, Facebook, and YouTube. We are launching a podcast, and every episode needs to be turned into clips, graphics, and posts and pushed out on schedule. Doing that consistently, every week, on time, is a full-time job in its own right, and this role exists to make sure it happens. • You'll own the production engine behind our social presence: turning each podcast episode into finished clips and graphics, publishing on schedule (once approved), and getting every social lead to the team fast. You'll work from a clear brief each week. Our Marketing Coordinator sets strategy, plans the calendar, and shapes the messaging, so your focus stays on doing the repeatable work reliably and to a high standard. • If you are good at doing the same set of tasks well, week after week, without needing reminders, this role will suit you. • What This Role Does Not Do • To be explicit, the following stays with the Marketing Coordinator and leadership: • Content strategy, content calendar planning, and deciding what topics or series to run. • Writing original copy in the founder's voice, choosing hooks, or deciding which moments of an episode matter. • Brand direction, design decisions outside the approved templates, and final approval of anything before it publishes. • Performance analysis and reporting. The team owns the numbers and what to do about them. • Influencer or partner outreach, and any conversation with a lead beyond the approved scripts. • Core Tasks • These are the tasks you will do every week. They are deliberately similar and repetitive. • 1. Podcast Episode to Clips Receive the raw episode recording from the Events Coordinator, along with clear direction: clip timestamps, approved hook text for 3–6 clips, and any required edits. Check the direction before you start. Confirm every timestamp falls inside the episode and runs in the right order, the clip count matches what's expected, and required edits don't overlap with any clip. If anything doesn't add up, ask the Events Coordinator before cutting. Never change hook text or any wording about returns, performance, or investment offers. If a claim looks wrong or too strong, flag it to the Marketing Coordinator and hold that clip until it's confirmed. Hand heavier edits to the in-house video editor early, and plan around their availability so the episode stays on schedule. Cut each clip, apply captions, and add the branded intro, outro, and lower-third from our templates. Use AI tools to speed up transcription, captioning, and first-pass cuts, then check captions word-for-word against the audio. Export in the correct format for Reels, TikTok, YouTube Shorts, and LinkedIn. When the video editor is unavailable, do light episode edits only: trim, level audio, remove noise, add captions. Turnaround: all clips delivered for approval within 48 hours of receiving the raw episode and direction. If an approval window or someone's availability makes that tight, say so on day one. What good looks like: clean cuts on the right moments, accurate captions, branding that matches the templates, and every clip in the approval queue on time, with any problems raised on the first day rather than the last. 2. Show Notes, Titles, and Descriptions Draft the episode title, description, timestamps, and show notes using our template and AI tools, following the reference examples we provide. Check every AI draft against the episode before you submit it: names, numbers, company names, and timestamps must match what was actually said. Keep the tone and structure consistent with past episodes, using the reference examples as your guide. Submit for approval. Nothing publishes until the Marketing Coordinator signs off. What good looks like: drafts that need light edits at most, with no wrong names, figures, or timestamps. 3. Templated Graphics Produce quote cards, carousels, and text-on-screen videos using approved Canva/CapCut templates and copy supplied by the team. Follow brand guidelines exactly. No new layouts, fonts, or colors without approval. Check every graphic before submitting: spelling, figures, and quotes must match the approved copy exactly. Export each graphic in the right size for the platform it's going to. What good looks like: graphics that look like they came from one designer, every time, with zero typos. 4. Scheduling and Publishing Load approved assets into Hootsuite according to the calendar the Marketing Coordinator sets. Only schedule what has been approved. If the calendar has a post going out before its approval date, flag it rather than scheduling it. Check every post before it goes live: correct caption, correct link, tracking parameters on every CTA that match the platform, and correct format. Publish the weekly episode and show notes to the podcast host and YouTube on the fixed publish day. Confirm each post went live as planned and report anything that failed. What good looks like: every post goes out on time, with the right link and tracking, and nothing goes live without approval. 5. Asset Library Keep raw footage, finished clips, graphics, and templates filed in the shared drive using our naming convention, so anyone on the team can find anything without asking. File each episode's assets as soon as they're final, not at the end of the month. Keep only the latest approved templates in the working folders, so no one uses an outdated version. • What We Provide • Brand guidelines, approved Canva/CapCut templates, intro/outro/lower-third files, and show-notes template. • Clear direction for every episode from the Events Coordinator (timestamps, hook text, required edits) and a monthly content calendar from the Marketing Coordinator. • Approved response scripts for comments and DMs, and a clear definition of what counts as a lead. • Access to Hootsuite and shared drive. • Reference examples and an AI drafting tool for content creation. • Skills and Qualifications • Must-Haves • 1+ year of hands-on experience cutting short-form video from long-form footage, with samples you can show. Confident in CapCut or Premiere Pro (or DaVinci Resolve) for trimming, captions, basic audio clean-up, and applying templates. Confident in Canva for template-based graphics. Experience scheduling posts in Hootsuite. Working knowledge and hands-on experience of using AI tools to produce content, such as drafting captions or show notes, transcribing, or finding clips. Tell us which AI tools you have used and what you used them for. You check AI output before you use it, and correct what it gets wrong. You read every brief before you start and flag problems early: wrong timestamps, missing links, claims that don't look right. Extremely reliable with deadlines and process. You do the same steps correctly every week. Good written English for captions, show-notes drafts, and short updates to the team. Comfortable following a checklist and asking rather than guessing. • Nice-to-Haves • Familiarity with Hootsuite, Riverside, Descript, or Adobe Audition. • Exposure to real estate or finance content. • First 30 Days • Week 1: Learn the templates, brand guidelines, response scripts, lead definition, and file naming. Shadow one full episode cycle. • Week 2: Produce clips, graphics, and show notes for one episode with review at each step. • Week 3: Run the full weekly cycle end to end with light review. Take over inbox monitoring and lead routing. • Week 4: Operate independently on all six core tasks. Marketing Coordinator moves to approval-only. Working Hours: Monday to Friday, 8:00 AM - 5:00 PM Eastern Time Rate: $4 and up/hr-** open to paying more for a highly experienced candidate ($$$) ***IMPORTANT NOTES: AI is a core part of how we work. You'll use AI tools to transcribe, draft, caption, and speed up repetitive steps, so more of your time goes into getting the details right. We don't want AI output passed along unchecked. We want someone who uses AI to work faster, then checks every result against the source before it moves forward. Accuracy matters more than usual here. We publish content about real estate investing. A wrong timestamp, a broken link, or a caption that overstates returns isn't just a typo; it can mislead an investor. The right person for this role catches those problems early and flags them, rather than guessing or quietly fixing things on their own. To be replaced: Lhander Lance Batas
